An outside team can take a huge load off your front desk. Because they will hear and record patient information, HIPAA applies to them too. Use this checklist before anyone starts.
Paperwork first
- A signed business associate agreement (BAA) before any patient information is shared.
- A clear description of what the team will and will not do.
People
- Everyone who handles your calls is trained on HIPAA before starting.
- Staff only see the practices and information their role needs.
- There is a named person you can call about any privacy concern.
Software
- Two-factor sign-in for every staff account.
- Encryption of patient details stored in the system.
- An audit log that records who viewed or exported patient records, and can't be edited.
- Automatic sign-out when a computer is left idle.
Day to day
- Messages are taken in a secure system, not on paper or personal phones.
- Urgent calls follow a written escalation path to your on-call provider.
- You can see what was handled, so nothing depends on trust alone.
This checklist is a starting point, not legal advice. Our team signs a BAA before any work begins, and Pulseline includes two-factor sign-in, field-level encryption and a tamper-proof audit log, free with our front desk support.
